Shift swap
An arrangement where two employees exchange scheduled shifts, or one hands a shift to another, usually with manager approval.
A shift swap is an exchange of scheduled shifts between two employees, or a straight handover of one shift from the person rostered to somebody willing to take it. It is the pressure valve on a published rota: the mechanism that lets a schedule survive contact with real life without a manager rebuilding it.
What a swap has to check
A swap is not simply a name change. The replacement has to be qualified for the role, available, and not pushed into overtime or a rest-period breach by taking it. A swap approved without those checks moves the problem rather than solving it, and the cost shows up later as a premium hour nobody authorised or a compliance flag on a shift that looked fine when it was agreed.
- Does the replacement hold the role and any required certification
- Does the swap create overtime for either person
- Does it leave enough rest either side
- Is the original still accountable if the replacement does not appear
Informal swaps are the risk
Most swaps happen in a group chat, and the rota is updated afterwards if at all. That is how a shift ends up worked by somebody the schedule says was not there, which breaks the timesheet, the labour cost and any record you might later need. The fix is not to ban informal arrangements, it is to make the sanctioned route faster than the group chat.
